Usage Data

Camera, Photo Library, Face Data and Biometric Information

Our application may request access to your device camera, photo library, and location services to provide attendance verification, profile management, and biometric authentication features.

Face Data Collected

When a user performs biometric attendance verification, the application captures a facial image through the device camera.

The captured image is processed using facial recognition technology to generate a mathematical face embedding used for identity verification. The generated face embedding is securely stored on the Company's servers and used solely for attendance authentication purposes.

Face data may include:

• Facial images captured during enrollment and attendance verification
• Face embeddings generated from facial images
• Attendance verification metadata such as date, time, and location

The application does not collect facial geometry maps, health-related biometric information, or use face data for advertising, marketing, or profiling purposes.

Purpose of Face Data Collection

Location Information

During attendance verification, the application may collect latitude and longitude coordinates with the user's permission. This information is used solely to verify attendance within authorized locations defined by the institution.

Storage of Face Data

Facial images submitted during enrollment are processed to generate a face embedding, which is a mathematical representation of facial features.

The generated face embedding is securely stored on servers operated by SaaS 360 Cloud Tech India Private Limited for identity verification and attendance authentication.

Access to face data is restricted to authorized personnel and authorized educational institutions using the SaaS 360 platform.

Sharing of Face Data

Face data is not sold, rented, or shared with advertisers, marketing agencies, or data brokers.

Face data may be accessible only to:

• Authorized school administrators
• Educational institutions using the SaaS 360 platform
• Authorized service providers responsible for hosting and infrastructure support

Retention of Face Data

Face embeddings and attendance verification records are retained only for as long as required to provide attendance services, maintain institutional records, comply with legal obligations, and prevent fraudulent attendance activities.

When the information is no longer required, the associated face embeddings and attendance records are securely deleted or anonymized.

WhatsApp Business Platform Integration

SaaS 360 may integrate with the Meta WhatsApp Business Platform to enable organizations, educational institutions, and businesses to communicate with their customers, students, parents, employees, and stakeholders through WhatsApp.

When a customer chooses to connect their WhatsApp Business Account using Meta's Embedded Signup process:

• We receive only the permissions required to configure and manage the WhatsApp Business integration.
• We use the integration only to provide messaging services requested and authorized by the customer.
• We do not sell, rent, or share WhatsApp account information with advertisers or data brokers.
• We do not use WhatsApp account information for unauthorized advertising, marketing, or profiling.
• Access tokens and credentials received from Meta are securely stored and protected using reasonable security practices.

Meta and WhatsApp Permissions

Our Facebook and WhatsApp integrations may request permissions including, but not limited to:

• WhatsApp Business Account access
• Business management permissions
• Phone number management
• Message template management
• Message sending permissions
• Business asset management

These permissions are requested solely to provide services explicitly authorized by the customer.

Information Shared with Meta

When using Meta services, certain information may be exchanged between your organization and Meta Platforms in accordance with Meta's own Privacy Policy and Platform Terms.

SaaS 360 only exchanges information necessary to:

• Authenticate your organization
• Configure WhatsApp Business services
• Deliver approved WhatsApp messages
• Manage templates and messaging configuration
• Maintain security and prevent unauthorized access

Use of Information

We may use collected information to:

• Provide, operate, and maintain our services
• Manage user accounts

Upon account termination, information will be securely deleted or anonymized unless retention is required by law, contractual obligation, institutional record requirements, or security purposes.

Children's Privacy

SaaS 360 provides software solutions primarily to educational institutions and organizations. Where student information is processed, such information is managed under the authority of the respective institution, which acts as the data controller or authorized administrator.

Parents or guardians should contact the educational institution regarding requests to access, modify, or delete student information.

International Users

Our services may be accessed from countries outside India. By using our services, you acknowledge that your information may be processed and stored on servers located in India or other jurisdictions where our infrastructure or service providers operate.
